XPM not syncing
with Xero?

A client you added in Xero Practice Manager (XPM) hasn't appeared in Xero, or an invoice you raised isn't showing against the job — the two aren't talking. It's almost always a name mismatch, a job state, or the connection dropping. Here's how to get contacts, invoices and the Xero ledger back in step.

The number-one cause is a name mismatch — the contact name in Xero doesn't exactly match the client name in XPM, so they won't link. Make the names identical, confirm the job is in an active state (not completed/cancelled), and re-save the invoice to re-trigger the sync. If nothing is syncing at all, reconnect the Xero organisation and check for duplicate contacts.

WHY IT HAPPENS

The two systems link on the details.

XPM and Xero are separate systems that share data — clients become contacts, and invoices raised in XPM appear in the Xero ledger. That link relies on the details matching exactly: the client/contact name, an active job, and a live connection between XPM and your Xero organisation. When something is slightly off — a renamed contact, a completed job, a duplicate record, or a dropped connection — the sync silently fails and records fall out of step. Sync also isn't always instant, so sometimes it just needs a moment. The steps below rule these out in order.

THE FIX

Work through these in order.

  1. Give it a little time firstSyncing between XPM and Xero isn't always instant. If you've just made a change, wait a few minutes and refresh before assuming it's broken — plenty of "not syncing" reports are simply timing.
  2. Match the contact name exactlyThe biggest cause of failed syncing is the Xero contact name not matching the client 'Name' in XPM. Line them up character for character (watch for extra spaces, "Pty Ltd" vs "P/L", or trading names), then save to trigger a re-sync.
  3. Check the job is in an active stateAn invoice won't sync to a job that's completed or cancelled. In XPM, set the job back to an active state such as "In Progress", then make a small edit to the invoice in Xero to prompt it to re-sync to the correct job.
  4. Clear duplicate and archived contactsDuplicate or archived contacts in Xero confuse the matching. Merge duplicates into one active contact and un-archive the right one so XPM has a single, clear record to link to.
  5. Confirm your sync settingsAdministrators can control when clients sync to Xero contacts — never, only when uploading invoices, or every time client details change. If clients aren't flowing through, check this setting is on and set to how your practice actually works.
  6. Reconnect the Xero organisationIf nothing is syncing at all, the connection between XPM and your Xero organisation may have dropped. In your Xero/XPM settings, confirm it's pointed at the correct Xero organisation and reconnect (re-authorise) it, then test with one client or invoice.
  7. Escalate a stubborn recordIf a single record still won't sync after all of the above, note the client and invoice, and raise it with Xero support or your IT provider — there may be a data conflict that needs a closer look rather than another retry.
If contacts and invoices keep drifting out of sync across the practice, it's usually a naming/data-hygiene process issue rather than a one-off glitch. Agreeing a consistent way to name clients in XPM and Xero — and cleaning up duplicates once — prevents most future sync headaches.
