Set up your work email
on Android.

Adding your Microsoft 365 work email to a personal Android phone is quick with the free Outlook app. It keeps work mail separate from your own accounts and handles your workplace's sign-in security the way IT expects — here's the whole process.

Install Microsoft Outlook from Google Play, open it and tap Add Account. Enter your work email and password, then approve the sign-in prompt (that's multi-factor authentication). Allow the permissions it asks for, and your mail, calendar and contacts start syncing on their own.

BEFORE YOU START

The Outlook app is the way to go.

Android has other mail apps, but for a Microsoft 365 work account the Microsoft Outlook app is the reliable choice. It supports modern sign-in and multi-factor authentication properly, keeps your work inbox in its own space, and is the app most workplaces support and secure. Have your work email address and password ready — plus the Microsoft Authenticator app or your work phone nearby for the security check.

HOW TO SET IT UP

Add your work email step by step.

  1. Install Outlook from Google PlayOpen the Play Store, search for Microsoft Outlook, and tap Install. It's free. Check it's published by Microsoft Corporation so you don't install a copycat.
  2. Choose Add AccountOpen Outlook and tap Add Account — not "Create new account". Type your full work email address (for example, yourname@yourcompany.com.au) and tap Continue.
  3. Enter your work passwordOutlook sends you to your organisation's Microsoft 365 sign-in page. Enter your work password — this is separate from any personal Google or Microsoft account on the phone.
  4. Approve the multi-factor promptIf your workplace uses MFA (most do), you'll be asked for a second check. Approve the notification in Microsoft Authenticator, or enter the code you're sent. On a first-ever sign-in you may be guided through setting MFA up now.
  5. Allow the permissions it requestsTap Allow when Outlook asks about notifications, calendar and contacts so alerts and meetings work properly. You can adjust these later in the app or your phone's settings.
  6. Let it syncYour inbox, calendar and contacts fill in automatically — a large mailbox may take a few minutes the first time. Once mail is arriving, you're set.
Your workplace may add a step or two. Some organisations require you to enrol the device or install a work profile before mail will load, or they may only allow the Outlook app. If setup pauses with a message about company policy, security or a required app, that's normal — follow the prompts, or ask your IT provider. It exists to protect company data on a personal phone, not to reach into your personal apps, photos or messages.
