Set up your work email
on an iPhone.

Getting your Microsoft 365 work email onto a personal iPhone takes about five minutes. The safe, well-supported way is the free Outlook app — it keeps work separate from your personal mail and handles your workplace's security the way IT expects.

BEFORE YOU START

Use the Outlook app, not Apple Mail.

You can technically add work email to the iPhone's built-in Mail app, but for a Microsoft 365 account the Microsoft Outlook app is the right tool. It handles modern sign-in and multi-factor authentication cleanly, keeps your work inbox in its own space, and is the app most workplaces support and secure. Have your work email address and password handy — and your Authenticator app or work phone nearby for the security prompt.

HOW TO SET IT UP

Add your work email step by step.

  1. Install the Outlook appOpen the App Store, search for Microsoft Outlook, and tap Get to install it. It's free. Look for the blue Outlook icon from Microsoft Corporation so you don't grab a look-alike.
  2. Open Outlook and start adding an accountLaunch the app and tap Add Account. Type your full work email address (for example, yourname@yourcompany.com.au) and tap Continue.
  3. Enter your work passwordOutlook sends you to your organisation's Microsoft 365 sign-in page. Enter your work password — this is separate from your Apple ID or any personal Microsoft account.
  4. Approve the multi-factor promptIf your workplace uses MFA (most do), you'll be asked for a second check. Approve the notification in the Microsoft Authenticator app, or type the code sent to you. If it's your very first sign-in, you may be walked through setting MFA up now.
  5. Allow calendar and notificationsTap Allow when Outlook asks to send notifications and access your calendar. This lets you see meetings and get new-mail alerts. You can fine-tune these later in the iPhone's Settings.
  6. Let it syncYour inbox, calendar and contacts populate on their own — a full mailbox can take a few minutes the first time. Once mail is arriving, you're done.
Your workplace may add a step or two. Some organisations require you to enrol the device or install a management profile before work mail will load, or they may only permit the Outlook app. If setup stops with a message about company policy, security or a required app, that's expected — follow the on-screen instructions, or check with your IT provider. It's there to protect company data on a personal phone, not to access your personal photos or messages.
