Quick answer
Open the listing, go to its portal settings, and read the error log — it names exactly what the portal rejected. Fix the missing field or photo, confirm the listing status is Listing/Current and ticked for that portal, then re-publish. Feeds usually take a few minutes to a few hours to appear.
WHY IT HAPPENS
"Published" in VaultRE isn't the same as "live" on the portal.
When you publish in VaultRE, it sends a feed to each portal you've selected. The portal then checks that feed against its own rules and either accepts it or bounces it back. So a listing can look published on your side but never actually go live because realestate.com.au or Domain rejected it — usually for a missing required field, no photos, the wrong status, or a duplicate-listing rule. The good news: every rejection comes back with a reason, and VaultRE records it in the listing's error log.
THE FIX
Work through these in order.
- Read the portal error log firstOpen the listing, go to its portal / marketing settings, and look for an upload error against realestate.com.au or Domain. Click through to the error log (or "see error") — it spells out precisely what the portal rejected. This one step usually answers the whole question, so start here before changing anything.
- Fill in the required fieldsPortals reject feeds that are missing mandatory details — a valid address, a price or price-display setting, property type, authority type and dates, agent/contact details, and (in Victoria) a Statement of Information. Work through the listing and complete anything flagged as required or shown in the error log.
- Add and publish at least one photoBoth realestate.com.au and Domain require images. Confirm the listing has photos loaded and that they're set to publish to the selected portals — VaultRE lets you toggle image visibility per portal, so an image that's uploaded but unpublished still counts as "no photo" to the feed.
- Check the listing status and portal ticksThe listing must be in an active status (for example Listing / Current), not a draft, appraisal or withdrawn status. Then confirm realestate.com.au and Domain are actually ticked in the portal settings for this property — it's easy to miss one.
- Rule out the 60-day duplicate ruleIf the property was recently on realestate.com.au with another agency and their listing is still active, REA won't accept a second live listing for the same address for up to 60 days. If that's the block, the previous agent or REA support needs to remove or expire the old listing first.
- Re-upload / re-publish the feedOnce you've fixed what the error log flagged, save and re-publish the listing to push a fresh feed. If VaultRE offers a "resend to portal" option, use it. Give it time — feeds are processed in batches and can take a few minutes to a few hours to appear on the portal.
- Confirm the portal account connectionIf nothing is feeding at all — not just this one listing — your agency's connection to that portal may be broken or your agent/office ID may be misconfigured. Check that your VaultRE account is correctly linked to your realestate.com.au and Domain agency accounts, and confirm those accounts are active and in good standing.
If the error log points at the portal, not VaultRE — for example an account, agent-ID or billing issue on realestate.com.au or Domain — that part is fixed on the portal's side, not in VaultRE. The error log usually says which team to contact. If feeds keep failing across many listings, loop in your IT provider or VaultRE support so it gets fixed at the connection level rather than one property at a time.
