Case study: a growing
regional NSW law firm.

A prominent, fast-growing law firm was hamstrung by a combative, incapable IT provider — a fragile office server, the wrong hardware, and serious security gaps. Here's how we modernised their technology and closed the risks, with zero downtime.

THE SITUATION

A prominent regional firm, growing fast — and held back.

Our client asked to stay anonymous, because they didn't want the extent of their previous provider's sub-par work made public. This firm had established itself as a prominent player in its region and was experiencing rapid organic growth — but their IT couldn't keep up.

They told us they felt hamstrung by a combative, unhelpful and incapable IT provider — yet they were so afraid of the risks of changing. What if the old provider deleted everything, or turned off systems? What if they simply refused to cooperate? The handover was a little trying, but we navigated the transition with zero downtime, and thanks to our mitigation measures, none of those feared risks were realised.

THE CHALLENGE

The wrong hardware, a fragile server and hidden security risk.

Rapid growth had exposed the limits of a setup that was never designed to scale — and a "my way or the highway" provider who wouldn't adapt it.

Hardware that couldn't do the jobThe old provider deployed Macs that simply couldn't run the firm's legal practice management software — then installed an expensive server to run it. Tens of thousands went on MacBooks that became little more than a screen to view that server.
Email tacked onto a websiteRather than a business-grade system like Microsoft 365, email ran off the back of the firm's website — a cheap, non-business-grade approach from 25 years ago. The firm felt its impact many times over the years.
Serious cybersecurity gapsMajor exposure to email hacks, invoice fraud, impersonation and data theft — every one of them a potential mandatory Notifiable Data Breach under Australia's NDB legislation.

It was a classic case of an IT company with a preferred way of doing things and enforcing it — instead of genuinely engaging to deliver a fit-for-purpose solution tailored to the firm's needs. On top of the operational failings, the firm's data sat on a single, high-risk point of failure in the office.

WHAT WE DID

A strategic IT partnership, aligned to long-term goals.

Clarity became the firm's trusted IT partner — starting with an audit, benchmarking and gap analysis, then a smooth transition to a secure, scalable, cloud-first foundation.

Cloud-based infrastructureWe migrated the firm from traditional hardware to a secure, cloud-based system that supports growth across multiple locations. Staff now work remotely on resilient systems — no data tied to a single point of failure, no operations grinding to a halt in a power outage.
Re-imagined, right-sized hardwareBy rethinking the technology stack and deploying fit-for-purpose devices aligned to the firm's critical applications, we delivered significant hardware cost savings — no more paying for expensive kit that couldn't do the job.
Level 2 & 3 support onlyAn advanced support structure for fast issue resolution — a help-desk model staffed by senior Level 2 and 3 technicians, not an offshore Level 1 queue.
CYBERSECURITY UPLIFT

High-ROI security, built to a budget.

Our audit, industry benchmarking and gap analysis shaped a cybersecurity strategy spanning reactive, proactive and preventative controls — prioritising the highest-return items first.
